Under the Clery Act, the University must count and disclose certain crimes reported to have occurred within Clery geography. 

Crimes may occur off-campus but within Clery geography during sponsored student travel. Under certain circumstances, sponsored student travel must be reported to the Clery Compliance Officer before travel so they can request from local law enforcement information about Clery crimes for that location during the specified time period. 

When to Report Student Travel (Both Domestic and Foreign)

Complete one form for each trip (not each student) that meets the following requirements to be within Clery geography:

• student trip is off campus;
• there is a written agreement (no matter how informal) for a hotel or other space used by students during the trip (e.g., hotel reservation, rental agreement for housing or other space, e-mail agreement for use of space free of charge); and
•  the University or a registered student organization (1) pays for the hotel or other space (directly or by reimbursement) or (2) dictates which hotel or other space the students are required to use.
  
  • The written agreement can be either directly with the end provider or through a third-party

When Form is Not Required

Do not complete this form to report a trip if any of the following is true:

• The written agreement is for accommodations on campus (e.g., University Hilton Hotel)
• There is no written agreement for use of space during the trip (e.g., events in which the host arranges the housing and other space used)
• Students choose and pay for their own lodging or other space without seeking reimbursement
